Meeting Management System
In a world where effective decision-making and collaboration are the cornerstones of successful business operations, STC’s GCEO Meeting Management System seeks to transform the way organizations conduct and manage their meetings. This project involved a comprehensive overhaul of the current system, integrating a suite of features that optimize the entire meeting process.
Task
Our responsibilities encompassed User Research, User Interviews, Journey Mapping, Product Innovation, and User Interface Design. The task was to design a user-centric solution that streamlines meeting management and enhances the overall meeting experience for the GCEO office and its team members.
A key challenge was the GCEO office’s struggle with managing meeting agendas, materials, and action items efficiently. The office was grappling with the time-consuming process of organizing and tracking various aspects of meetings, which was hindering productivity and effective decision-making. Furthermore, the lack of a real-time collaborative tool was exacerbating these issues, making it difficult to manage meeting presentations and materials seamlessly.
Another significant hurdle was the organization of meeting logistics like catering, media coverage, and dress code, which required significant improvement. The existing system lacked the necessary features to streamline these processes, causing additional work and inefficiencies. Moreover, there was a pressing need for a solution that could enhance collaboration among team members, enabling them to manage and share action items and decisions more efficiently.
The web interface provides a comprehensive, easy-to-use dashboard. This dashboard enables users to create and manage agendas, track action items, and store official records of discussions.
With features for taking detailed meeting minutes via customizable templates, it ensures efficient documentation and transparency.
